We are looking for an Executive Assistant to provide comprehensive support to our CEO and Director.

The company was founded in 2020 by CEO Stuart Hamilton with the intent to help tackle the growing care crisis in the UK and around the world. A recent survey showed that almost 170,000 hours a week of home care could not be delivered in the first three months of 2022, a dramatic seven-fold increase since the previous year. We believe digital care technology can help if done right. 

2023 will be an exciting time to join Amba, with new national and international clients and partners.  We have some of the best care companies and senior living residences as clients in both the  UK and Canada with further expansion into the USA.

About the role

As Executive Assistant, you will provide consistent high-level support to the CEO and the Business Development Director. 

Your responsibilities will include:

  • Diary and inbox management for CEO and Director, including;
    • Filter and respond to enquiries, meeting and information requests.
    • Arrange appointments and schedule meetings. 
    • Draft and prepare correspondence for internal communications and messages.
  • Manage travel plans; arrange travel and accommodation and create itineraries.
  • Meeting preparation and organisation including;
    • Provide background information, 
    • Logistical management of meetings, internal and external,
    • Production and preparation of materials and content e.g presentations
    • Note-taking as necessary
  • Prepare reports for the leadership team and Board including
    • Preparation of briefing materials and presentations
    • Taking minutes and actions to follow-up 
  • Provide an effective filing system in accordance with data privacy and GDPR. 
  • Manage expense submissions 

Normal working hours are 9.00 – 5.30 but work outside of these hours may at times be required. This role can be performed entirely remotely, hybrid, or from our Bristol office. We can offer flexibility, so please let us know during the application process your preference or requirements.

We’d love to hear from you if:

  • You have 3+ years experience as an Executive Assistant in a highly productive, fast-paced environment. 
  • Degree-level qualification or equivalent 
  • You’re a super-motivated individual, who is solution-oriented and can work independently with strong initiative. 
  • You’re able to manage sensitive information with a high level of confidentiality and discretion.  
  • You’re highly organised, and can use initiative to structure and prioritise your workload. 
  • You have excellent communication and interpersonal skills (written and verbal) and are able to communicate with various levels both internally and externally. 
  • You’re flexible and adaptable to changing situations. 
  • Ability to conduct and summarise research.
  • (You are proficient in GSuite (GMail, Google Slides, etc) and Powerpoint.

Salary and benefits

Salary range: 35-40K

  • Initial peer interview (15-30 mins) with an Executive Assistant to discuss your background and experience. 
  • If shortlisted, you will be invited to meet with the CEO and Director to talk in more detail about the role and our expectations. (You can expect this interview to take 30-60 mins)
